Kinboard privacy policy

Last updated 29 October 2026

Kinboard is a family organiser made by Pixel Owl ("we", "us"). We are the data controller for the information described here. You can contact us about anything in this policy at support@pixelowl.dev.

The short version

  • We only keep what Kinboard needs to work: your email address and what your family adds to the app.
  • Only the people in your family can see your family's details.
  • There are no adverts, no tracking and no analytics in Kinboard. We never sell or share your data for marketing.
  • Letters, photos and voice you ask Kinboard to read are read on your iPhone, not sent to us or to any AI company.
  • You can delete your account, and your family's data, from inside the app at any time.

What we collect

Your account. Your email address, used to sign you in with a one-time code. We don't use passwords. You can also use Kinboard without an account, in which case nothing you add leaves your iPhone. Anything marked "Only on my iPhone" is never sent to us either.

What your family adds. Everything you or your family members type or save in Kinboard, including names, birthdays and photos; diary entries; schools and clubs; chores, points and pocket money; notes; and the photos and PDF letters you choose to keep.

If you choose to add them, it also includes health details for family members, such as allergies, medicines, conditions, vaccinations, blood group, NHS number and GP or dentist contacts. These are "special category" data under UK GDPR. Kinboard asks before you add the first one, and we only store them because you choose to add them.

Purchases. Apple handles payment for Kinboard Pro. We never see your card details. Apple tells the app whether Pro has been bought.

What we don't collect. Kinboard doesn't collect your location (it's used once on your phone if you tap "Schools near me", and isn't stored), your contacts, advertising identifiers, or any analytics or usage tracking.

How we use it

  • To sign you in and keep your family's diary the same on every phone in your family.
  • To show your family's details to the people you have invited into your family, and nobody else.
  • To reply if you contact us.

Reminders and notifications are created on your own phone. Reading letters, photos, scans, web pages and speech happens on your iPhone, using Apple's on-device features. We don't use your data to train any model, and we don't make automated decisions about you.

Our legal reasons (UK GDPR)

  • Contract: to provide the service you signed up for.
  • Explicit consent: for health details you choose to add. You can withdraw it at any time by deleting them in the app.
  • Legitimate interests: keeping the service secure and working.

Children

Kinboard is for parents, carers and other adults. Children don't have accounts. Information about children is added by the adults in their family, who are responsible for it. Please don't let anyone under 13 create an account.

Who else handles it

We use a small number of services to run Kinboard. They act on our instructions and can't use your data for their own purposes.

AppleApp Store, purchases and notificationsApple's own privacy policy applies

When you use these features, the app looks things up directly from public services. Only the search text is sent; none of your family's details are.

  • School search: Department for Education school data, downloaded into the app.
  • Postcode lookups: postcodes.io.
  • Weather: Open-Meteo.
  • GP, dentist and optician search: NHS England Organisation Data Service.
  • Bank holidays: GOV.UK.
  • Calendar links and web pages you add: the website you give Kinboard.

We don't transfer your data outside the UK, except where Apple processes it under its own terms.

How long we keep it

Until you delete it, or delete your account. Deleted things stay in Recently deleted on your phone for 30 days so they can be put back. When the last adult in a family deletes their account or leaves, the family's online data, photos and letters are deleted. Copies in our provider's backups are deleted within 7 days after that. Emails you send us are kept for up to two years.

Keeping it safe

All data is encrypted in transit and at rest. Database rules mean a signed-in person can only read the families they belong to. Sign in uses one-time codes sent to your email. On your iPhone, Kinboard's files use iOS data protection and you can add a Face ID lock. More on our security page.

Your rights

  • See and download your data: Settings, Save a backup creates a file with everything.
  • Correct it: edit anything in the app.
  • Delete it: Settings, Delete my account. You can also email us.
  • Object, restrict or ask for a copy: email support@pixelowl.dev. We'll reply within one month.

More detail is on our UK GDPR page. If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

This website

This website doesn't use cookies, analytics or anything loaded from other companies. Our host, Cloudflare, keeps standard server logs (such as IP addresses) for a short time to keep the site running and secure.

Changes

If we change this policy in a way that matters, we'll tell you in the app before it takes effect. The date at the top shows when it last changed.
